Privacy Policy

GoPlanEvent (“we”, “us”) is a web app that helps event businesses manage clients, agreements, invoices and bookings. This policy explains what information we collect, how we use it, and the choices you have. If you have questions, email us at hello@goplanevent.com.

1. Information we collect

Your account

When you sign up we collect your name, email address and a password (stored only as a secure one-way hash). If you sign up with Google, we receive your name, email address and Google account ID instead of a password.

Your business

Business details you enter: business name, logo, phone number, website, payment instructions (for example your Zelle or Venmo handle), packages, prices, agreement templates and settings.

Your clients’ information

Details you add about your clients: names, email addresses, phone numbers, addresses, event dates, times and locations, notes, agreements and invoices. You control this information; we store and process it only to provide the service to you.

Electronic signatures

When your client signs an agreement, we record the name they typed, the date and time, and their IP address, and keep a locked copy of the signed agreement as evidence of the signature.

Free tools

If you use our free invoice generator, we collect your email address and the business details you enter (name, phone, website) to send you occasional emails about GoPlanEvent. The client details on the invoice are only used to create your PDF and are not stored.

Technical information

We use a single cookie to keep you signed in. Our hosting provider keeps standard server logs (such as IP address, browser type and pages requested) for security and troubleshooting. We do not use advertising or tracking cookies.

2. Google user data (Gmail and Google Calendar)

You can connect a Google account so GoPlanEvent can send emails from your Gmail address and add bookings to your Google Calendar. When you connect, we ask for these permissions:

  • Your email address and basic profile (openid, email): to show which Google account is connected and, if you choose “Continue with Google”, to sign you in.
  • Send email on your behalf (gmail.send): only to send the agreements, invoices and signed copies that you choose to send to your clients, plus a copy of each signed agreement to you. We cannot read, search or delete the emails in your mailbox.
  • View and edit events on your calendars (calendar.events): only to create, update and remove the calendar event for a client you mark as “Booked”. We do not read or change your other events.

We store the access tokens Google gives us, encrypted in transit and at rest by our database provider, and use them only for the actions above, each time you (or your client signing an agreement) start them.

GoPlanEvent’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • We only use Google user data to provide and improve the features you use in GoPlanEvent.
  • We do not sell Google user data, and we do not use or transfer it for advertising, retargeting or credit-worthiness purposes.
  • We do not use Google user data to develop, improve or train generalized artificial intelligence or machine learning models.
  • No person at GoPlanEvent reads your Google data unless you ask us to (for example for support), it is needed for security or to comply with the law.

You can disconnect Google at any time in Settings, which deletes the stored tokens, or remove access at myaccount.google.com/permissions.

3. How we use information

  • To provide the service: store your clients, build agreements and invoices, show them to your clients, collect signatures, send emails and keep your calendar up to date.
  • To run your account: sign-in, your free trial and (once billing is available) your subscription.
  • To keep the service secure, prevent abuse and fix problems.
  • To email you about your account and, if you used a free tool or signed up, occasional product news and offers. You can unsubscribe at any time.

4. Sharing

We do not sell your information or your clients’ information. We share it only:

  • With your clients, when you send them an agreement or invoice (they see what you send them).
  • With service providers that run GoPlanEvent for us: Vercel (hosting), Neon (database) and Google (email and calendar, when you connect it). When billing is added, payments will be processed by Stripe; we will not store card numbers.
  • If required by law, or to protect the rights and safety of our users or the public.
  • If GoPlanEvent is involved in a merger or sale, in which case this policy continues to apply to your information.

5. How long we keep information

We keep your information while your account is open. If your trial ends without a plan, we keep your data for at least 90 days so you can come back. You can ask us to delete your account and all its data at any time by emailing hello@goplanevent.com; we will do so within 30 days, except where we must keep records by law. Signed agreements are kept as long as your account is open so that you and your clients can rely on them.

6. Security

Data is sent over encrypted connections (HTTPS) and stored with a provider that encrypts data at rest. Each account’s data is kept separate from every other account’s at the database level. Passwords are stored only as hashes. No system is perfectly secure, so please use a strong, unique password.

7. Your rights

You can see and edit most of your information in the app. You can also ask us for a copy of your data, to correct it, or to delete it, by emailing hello@goplanevent.com. Depending on where you live (for example in California or the European Union), you may have additional rights; we will honor them. If your client wants their information changed or deleted, they should contact you, and we will help you do it.

8. Children

GoPlanEvent is for businesses and is not intended for anyone under 18.

9. Changes

If we change this policy, we will update the date above and, for important changes, let you know by email or in the app.
